Operational Efficiency System

Engineered a CMMS platform connecting technicians and management through real-time alerts, QR-based machine tracking, and integrated cost control systems, improving maintenance efficiency and operational visibility.

THE PROBLEM

The maintenance department operated without a centralized system to track machine downtime, maintenance activities, or parts usage. Communication between technicians and management was fragmented, resulting in delayed responses, limited visibility, and inefficient cost tracking.

THE APPROACH

The goal was to design a system that not only tracked maintenance activity but actively improved operational decision-making. The approach focused on real-time communication, clear workflow logic, and full visibility across machine performance, downtime, and cost allocation.

SYSTEM ARCHITECTURE

The system connects machine-level events with technician actions and management visibility through a structured workflow.

PARTS & COST CONTROL

Each machine was linked to a dedicated parts system where components were tracked using barcodes. When a technician used a part, it was scanned, logged, and directly associated with the machine, ensuring accurate cost tracking and inventory control

INTELLIGENCE LAYER

Beyond real-time operations, the system continuously analyzed machine performance, downtime, and maintenance history to determine when preventive maintenance should be scheduled.

APPROVAL & DECISION LOGIC

Preventive maintenance requests were routed through an approval system involving both maintenance leadership and upper management. This ensured alignment between operational needs and business priorities, while also enforcing accountability through required justification for rejected requests.

IMPACT

The system introduced structured workflows, improved response times, and provided clear visibility into maintenance operations and costs. It enabled better coordination between teams and supported more informed decision-making across the organization.

The system was designed with simplicity and usability in mind. The focus was to ensure that technicians could interact with it quickly in real-world conditions, while management received clear, actionable insights without additional complexity
